Orpheus Planning System  

Assistance to the Artistic Administration Department for Opera, Theatre, Play

The essential task of the artistic administration is to organize the long term repertoires in advance for years and to cast them with a suitable performer. Based on it you can create the daily, weekly and monthly schedules for the performances as well as for the rehearsals.

Another key task is the short dated reshuffle of artists. In the case of illness and other matters this reshuffle has to be done within hours to avoid cancelling a performance. For this purpose you need an efficient instrument which provides all information at the touch of a button therewith you could fulfil your administration tasks fast and purposeful. Orpheus is a planning system which can map the whole workflow for the artistic administration.

The central module of Orpheus is the cast function of the roles with the artists. By 300 performances with 53 different productions, 7 new stagings, 3200 roles to cast and more than 3000 addresses per season, it will be clear how many data has to be coordinated and managed by the artistic administration, considering the Bayerische Staatsoper as example.

For example we have mapped the part function in a form of a matrix whereby the members of the staff have a fast outline about the parts per performance and there state. Additionally there are some control functions available, which automatically point out vacant parts.

An extreme important functionality by short-dated reshuffles is to find performers fast who can assume the part without any problems. Normally the performers with an actual or former contract will be considered first, but in case of a necessity you have more opportunity, if you can also regard artists from other houses. Orpheus comes with an extensive data base with information about the performer, the played parts and it has a quick search function.

Internal plays and staging will be feed step per step in the database automatically. External information of other operas has to give manual in the database. Providing this information rapidly is a great advantage for short dated reshuffles, which are often necessary within hours. This saves valuable time and prevents a possible loss of the performance.

Orpheus has been developed in collaboration with Bayerische Staatsoper Munich and is successfully in use since September 2004. The planning system has been developed with a multi-tier-architecture in Java and uses the Open Source product MySQL as database, which is available without additional costs.
